Office Manager job vacancy

For our client, an impact driven organization based in Amsterdam, we are currently looking for an Office Manager.

Someone who is proactive, who can operate with significant autonomy and can be trusted to run the office independently.

You will be the first point of contact for visitors and external stakeholders,

ensure the office runs smoothly, and support senior leaders and team members with scheduling, documentation, and operational tasks.

This is a hands-on role for someone who enjoys structure, ownership, and being “the go-to person” in a professional services environment.

 

Key Responsibilities

Office & Front-of-House

  • Welcoming guests and managing the front desk
  • Answering and routing the office phone
  • Managing the general info & support inbox
  • Coordinating and preparing our shared team lunch (simple salads and sandwiches)
  • Ensuring the office is tidy and presentable (kitchen, meeting rooms, common areas)
  • Ordering office supplies and gifts; monitoring stock levels
  • Liaising with the building/facilities, cleaning company, and internet provider

Scheduling & Administration

  • Calendar management for directors and team members
  • Coordinating meeting rooms and year calendars (IC, IAB, team, partner meetings)
  • Preparing standard NDA templates for the deal team
  • Managing DocuSign processes (deals, councils, investors, general requests)

Events & Travel

  • Organising and supporting external and internal events
  • Supporting travel arrangements and conference bookings when needed
  • Managing CO2 compensation related to team travel

Operations & HR Support

  • Asset control register and monthly checks of office equipment
  • Supporting onboarding and offboarding of team members at the office
  • Supporting internal projects and recurring initiatives (e.g. annual mailings)
  • Proactively flagging deadlines and action points for Management

Practicalities

  • On-site role in Amsterdam
  • Minimum availability: 09:00–14:00 daily (25 hrs/week)
  • Preferred: 32 hrs/week
  • You will be reporting to the CFO and you will work closely with entire team daily

What You Bring

  • 3–5 years’ experience as an Office Manager, Executive Assistant, or similar role
  • Experience in finance, VC, PE, or professional services is a strong plus
  • Experience of working with MS Office (Outlook, MS Team, Word, Excel)
  • Highly organised, detail-oriented, and able to manage multiple priorities
  • Strong interpersonal skills and a service-oriented mindset
  • Comfortable handling confidential and sensitive information
  • Proactive, hands-on, and able to execute independently
  • Fluent in English; Dutch is a strong advantage
